Invoice Data Entry and Holds 

Whether medical records are provided through COD or Net30 (Contracted) Vendors, it is essential to keep track of the invoices and their data to ensure payments are made accurately and efficiently.  

Invoicing Process

Intake Module 

1. Invoice Arrives: The invoice can be uploaded to the platform independently or automatically through any ingestion method that also brings in files.

2. DECISION: Assigns Invoice to Chase? Within the intake module, pages are identified and associated to chases as invoices. 

3. Invoice Hold: Any block to associating an invoice can be reviewed by a stakeholder. Examples include: An invoice for an inactive chase, an invoice for a chase not in Third Party, and invoice for a chase that already has a different invoice.

Invoicing Module 

5. Invoices are Uploaded, Associates to Chase: Invoices uploaded through the Invoicing Module. 

5. Review Doc ID and Chase Association: Document pages are identified as invoices and associated to all relecant chases. 

6. DECISION: Validation: Overview and confirmation of chase associations.

7. Hand off to Manager for Investigation: Escalation to a stakeholder when needed. 

8. Data Entry: Invoice data, such as date, invoice number and amount to be paid entered. 

9. Submit: Submission for payment.

1. Invoice Placed on Hold, "Invoice Only": Any block to associating an invoice can be reviewed by a stakeholder. Examples include: An invoice for an inactive chase, an invoice for a chase not in Third Party, and invoice for a chase that already has a different invoice. 

2. Review of Invoice Hold Bucket: Stakeholder review of hold bucket. 

3. Download Invoice (.pdf): Document with invoice downloaded from platform. 

4. DECISION: Associated to SO and Chase: Pages are identified and associated to chases as invoices.
